If you register on the portal we will need to process certain personal information about you in order to make the necessary registration and ensure you are able to be identified as Seren learners to gain access to the portal, and to identify other users as key parties to be kept informed about Seren Academy activities. This privacy notice explains how we use the personal information we collect about you whether you register as:

  • An Academy learner
  • Seren Graduate
  • A Hub Coordinator
  • A Teacher
  • A Partner Institution

Welsh Government will be the data controller for this information, and we will process it in line with our public task and the official authority vested in us to enable you to register within the Seren portal and access its offering. Where the information amounts to special category data (e.g., ethnicity, disability etc.) we will process it in the substantial public interest of ensuring equality of opportunity and treatment.

Cazbah Ltd will be data processor for this information, Cazbah are the Welsh Government appointed events management contactor who deliver educational activities on behalf of the Seren Academy team.

In addition, over the course of the academic year, using learner data, we may issue evaluation forms to measure the impact of the Seren Academy. The personal data collected during registration may be used anonymously to measure the impact of the programme on selected groups of learners.

How long do we keep your personal data?

We will retain learner data in accordance with Welsh Government requirements for a minimum of 12 years from the end of the current funding period of 2025. If you no longer wish to be part of the Seren Academy and its graduates, contact the Seren Team for your data to be erased.

Your rights

Under data protection legislation, you have the right:

  • to be informed of the personal data Welsh Government holds about you and to access it
  • to require us to rectify inaccuracies in that data
  • to (in certain circumstances) object to or restrict processing
  • for (in certain circumstances) your data to be ‘erased’
  • to (in certain circumstances) data portability
  • to lodge a complaint with the Information Commissioner’s Office (ICO) who is our independent regulator for data protection
